These Terms & Conditions apply to all tours, expeditions, guided rides, bike hire, support services and related activities provided by BiciRadVelo.
1. Organiser
For the purposes of these Terms & Conditions, "BiciRadVelo", "we", "our" and "us" refer to the cycling tours, expeditions and related services provided under the BiciRadVelo brand.
At the time of booking, BiciRadVelo is operated in Spain by Craig McColl as a registered self-employed professional (Autónomo).
These Terms & Conditions apply to all participants booking or taking part in any BiciRadVelo activity.
2. Booking & Acceptance
Submitting an application or enquiry does not guarantee a place on a tour.
All applications are reviewed individually to ensure the chosen tour is suitable for the participant's fitness, experience, expectations and objectives.
A booking is only confirmed once:
The participant has been accepted onto the tour.
The required deposit has been received.
Written booking confirmation has been issued by BiciRadVelo.
BiciRadVelo reserves the right to decline any booking application where participation may compromise safety, the group experience or the successful delivery of the tour.
3. Deposits & Payments
A deposit of 20% of the tour price is required to secure a place on a tour or expedition.
The remaining balance is normally due no later than 90 days before departure.
For bookings made within 90 days of departure, full payment would normally be required at the time of booking. However, BiciRadVelo understands that many riders book closer to departure and may, at its sole discretion, offer alternative payment arrangements where practical.
Any alternative payment arrangements must be agreed in writing prior to confirmation of the booking.
Failure to make payments by agreed deadlines may result in cancellation of the booking.
4. Tour Departures & Group Formation
Unlike traditional scheduled tours, many BiciRadVelo departures operate on a demand-led basis.
Tour dates are typically agreed with the initial booking party and become confirmed once the required deposit has been received.
Where a booking does not fill the maximum group size for a tour, BiciRadVelo reserves the right to offer the remaining places to other participants joining the same departure.
Minimum and maximum group sizes are stated on individual tour pages.
Once a departure is confirmed, accommodation, logistics, support arrangements and supplier commitments may begin to be secured on behalf of participants.
5. Cancellation by Participants
If you need to cancel your booking, please contact BiciRadVelo as soon as possible.
Participants are strongly advised to obtain comprehensive travel and activity insurance that includes cancellation cover.
Once a booking is confirmed, BiciRadVelo begins committing resources and incurring costs on behalf of participants. These may include accommodation reservations, vehicle hire, support staff commitments, supplier deposits, route preparation, expedition logistics, operational planning and other non-recoverable expenses required to prepare and deliver the tour.

Where costs already incurred or committed exceed this amount, BiciRadVelo reserves the right to retain additional sums from the deposit and/or Tour Price to recover those costs. | Any amount paid towards the Tour Price in excess of the deposit will be refunded, provided costs already incurred or committed on behalf of the participant have been fully recovered. |

Costs Incurred & Supplier Commitments
Costs already incurred or committed may include, but are not limited to:
Accommodation reservations.
Vehicle hire.
Transport arrangements.
Support staff commitments.
Supplier deposits.
Permits.
Route logistics.
Operational planning.
Other third-party services required to prepare and deliver the tour.
BiciRadVelo will always seek to minimise cancellation costs where reasonably possible. However, where such costs cannot be recovered from suppliers or service providers, BiciRadVelo reserves the right to retain sufficient funds from the deposit and/or Tour Price to recover those costs.
Transfers & Alternative Arrangements
Where practical, BiciRadVelo may offer a transfer to an alternative departure date or another reasonable arrangement.
Any such arrangement will depend upon:
Costs already incurred.
Supplier commitments.
Operational expenses.
The ability to recover or reduce losses arising from the cancellation.
Any transfer or alternative arrangement remains entirely at the discretion of BiciRadVelo and cannot be guaranteed.
Insurance & Unforeseen Circumstances
The cancellation terms above apply regardless of the reason for cancellation.
Participants should seek reimbursement through their travel and activity insurance provider where appropriate.
BiciRadVelo strongly recommends that participants obtain insurance covering:
Cancellation.
Travel disruption.
Medical treatment.
Emergency evacuation.
Cycling activities.
BiciRadVelo is not responsible for losses arising from a participant's inability to travel due to illness, injury, bereavement, work commitments, transport disruption or other personal circumstances.
6. Force Majeure & Extraordinary Events
BiciRadVelo shall not be liable for any delay, cancellation, modification, postponement or failure to perform its obligations where such circumstances arise from events beyond its reasonable control.
Such events may include, but are not limited to:
Pandemics and epidemics.
Government travel restrictions.
Border closures.
Quarantine requirements.
War or threat of war.
Civil unrest.
Terrorism.
Natural disasters.
Wildfires.
Flooding.
Extreme weather events.
Transport network disruption.
National emergencies.
Failure of third-party suppliers.
Any other force majeure event.
Where such circumstances affect a tour or expedition, BiciRadVelo will make reasonable efforts to provide:
Alternative dates.
Alternative itineraries.
Future tour credit.
Transfer of booking.
Cash refunds cannot be guaranteed and will depend upon the recovery of costs already incurred and the obligations of suppliers and service providers.
Participants are strongly advised to ensure their travel and activity insurance provides appropriate cover for such events.
7. Cancellation or Changes by BiciRadVelo
Subject to Section 6 (Force Majeure & Extraordinary Events), BiciRadVelo reserves the right to modify, postpone or cancel a tour where circumstances make it impractical, unsafe or impossible to operate.
Such circumstances may include:
Severe weather.
Natural disasters.
Wildfires.
Government restrictions.
Border closures.
Political instability.
Civil unrest.
Transport disruption.
Safety concerns.
Insufficient participant numbers.
Where practical, participants may be offered:
Alternative dates.
An alternative itinerary.
Future tour credit.
A refund of monies paid.
BiciRadVelo shall not be liable for flights, accommodation, transfers, equipment hire or other travel-related costs booked independently by participants.
8. Participant Fitness & Suitability
Participants are responsible for ensuring they possess the fitness, health, skills and experience necessary for the tour they have booked.
Tour descriptions provide guidance regarding:
Daily distances.
Elevation gain.
Terrain.
Technical difficulty.
Riding conditions.
If unsure whether a tour is suitable, participants should contact BiciRadVelo prior to booking.
9. Rider Conduct
Participants must:
Follow guide instructions.
Respect fellow riders, staff and local communities.
Comply with local laws and traffic regulations.
Ride within their abilities.
Act responsibly and respectfully throughout the tour.
BiciRadVelo reserves the right to remove any participant without refund where behaviour:
Creates a safety risk.
Endangers others.
Is abusive, disruptive or inappropriate.
Negatively affects the experience of the group.
10. Travel & Activity Insurance
All participants must hold valid travel and activity insurance covering the full duration of the tour.
Insurance should specifically include cover for:
Cycling activities.
Medical treatment abroad.
Emergency evacuation.
Mountain rescue where applicable.
Repatriation.
Trip cancellation.
Travel disruption.
Personal liability.
Participants are responsible for ensuring their policy provides adequate cover for cancellation, travel disruption, force majeure events and the destinations visited during their chosen tour.
Proof of insurance may be requested before departure.
Failure to obtain suitable insurance does not transfer responsibility to BiciRadVelo.
11. Participant Health & Medical Conditions
Participants are responsible for ensuring they are medically fit to participate.
Relevant medical conditions, allergies, medications or health concerns that may affect participation should be disclosed prior to departure.
BiciRadVelo reserves the right to refuse participation where undisclosed medical conditions may create a risk to the participant or others.
12. Bicycle & Equipment Responsibilities
Participants bringing their own bicycle are responsible for ensuring that it is safe, mechanically sound and suitable for the terrain.
Participants hiring bicycles, equipment or accessories remain responsible for any loss, theft or damage beyond normal wear and tear.
Participants are responsible for carrying the equipment specified within the pre-departure information provided by BiciRadVelo.
13. Accommodation & Room Allocation
Accommodation varies between tours and destinations.
Unless otherwise stated:
Prices are based on twin-share accommodation.
Single occupancy may be available at additional cost.
Accommodation providers may occasionally change due to operational requirements.
Where changes are necessary, reasonable efforts will be made to maintain a similar standard.
14. Route, Itinerary & Schedule Changes
Adventure travel requires flexibility.
Routes, accommodation, daily schedules and support arrangements may be modified due to:
Weather.
Trail conditions.
Road closures.
Local events.
Operational requirements.
Safety considerations.
Such changes do not constitute grounds for cancellation or refund.
15. Photography, Video & Media
Photographs and video recordings may be captured during tours and expeditions.
By participating in a BiciRadVelo tour, participants grant permission for such content to be used for:
Website content.
Social media.
Marketing materials.
Promotional activities.
Participants who do not wish to appear in marketing materials should notify BiciRadVelo in writing before departure.
16. Remote Environments, Safety & Emergency Procedures
Many BiciRadVelo tours and expeditions travel through remote mountain, gravel, wilderness and rural environments where immediate access to assistance may be limited.
Participants should understand that during certain stages of a tour there may be:
No mobile phone coverage.
No nearby settlements.
No food or water resupply.
Limited vehicle access.
Delayed emergency response times.
Emergency assistance may be delayed or unavailable due to weather conditions, terrain, remoteness or other circumstances outside the control of BiciRadVelo.
Challenging terrain.
Adverse weather conditions.
BiciRadVelo undertakes route planning, reconnaissance and risk assessment prior to operating tours.
Where appropriate, safety measures may include:
Daily rider briefings.
Route and weather monitoring.
Risk assessments.
Emergency response planning.
First aid equipment.
Mechanical support.
Support vehicles.
Emergency communications equipment.
Trained guides and expedition leaders.
Before each riding day, participants will receive a briefing covering:
Route details.
Terrain.
Weather conditions.
Resupply opportunities.
Potential hazards.
Emergency procedures.
Where included within the itinerary, support vehicles may provide logistical, mechanical and emergency assistance.
BiciRadVelo maintains appropriate business insurance for its operations. This does not replace the participant's obligation to maintain suitable personal travel and activity insurance.
In the event of an accident, illness or emergency, BiciRadVelo will make reasonable efforts to coordinate assistance and contact relevant emergency services, including ambulance, police, mountain rescue and air rescue services where available.
Participants acknowledge that cycling, adventure travel and expedition activities involve inherent risks that cannot be entirely eliminated and accept responsibility for participating voluntarily.
